Philadelphia Futures is a nonprofit organization that supports Philadelphia’s low-income, first-generation-to-college students with the tools, resources and opportunities necessary for admission to and success in college and career success. We transform lives by breaking down the barriers that have historically excluded low-income, first-generation-to-college students from achieving college and career success. The students Philadelphia Futures serves are provided with a comprehensive, time-tested array of programs designed to reduce the institutional, academic, social and financial barriers to college success.

We are currently seeking to hire the new Manager for the Ellis Trust for Girls at Philadelphia Futures, providing financial resources for high school girls living in low-income, single-parent homes to help prepare them for postsecondary success.  Specifically, grants are provided to fund high school tuition, college prep programming, enrichment activities, and other meaningful activities.  Over the past five years we have processed more than $9 million in Ellis grants.  Philadelphia Futures has been selected by the Trustee, PNC Bank, to be the Administrator of the Ellis Trust.  More information about the Ellis Trust can be found at our website:  www.ellistrust.org.

The Manager of the Ellis Trust will provide coordination and administrative support for grants and serve as the first point of contact for applicants and program providers for the Charles E. Ellis Trust for Girls. The Charles E. Ellis Trust for Girls helps eligible young women living in low-income, single-parent households achieve their goals through education. The Trust annually awards Ellis Tuition Assistance Grants to high school students in need of tuition aid, and Ellis Enrichment Grants to cover a range of high-impact enrichment programs and basic school needs (e.g. school supplies, uniforms and basic apparel).

You’ll help us to achieve:
● Facilitate the annual award of Ellis Tuition Assistance Grants to high school students in need of tuition
aid, and Ellis Enrichment Grants to cover a range of high-impact enrichment programs and basic school
needs (e.g. school supplies, uniforms and basic apparel).
● Connect Philadelphia-area students with resources and opportunities for learning and enrichment.
You’ll be responsible for:
● Manage the communications with and document student activity for grant recipients
● Manage invoices, prep for payment processing and handle money transfers with Trustee in accordance
with organization’s financial controls for grant distribution.

● Develop and execute campaigns using email and social media to stimulate applications and grant
requests.
● Support student online application process including initial review, eligibility determination, follow up on incompletes, monitor updates, and document the approval decisions. Run ad hoc reports on
application volume and status. Create and maintain process flow documentation.
● Represent the Ellis Trust at school and community forums to raise awareness about community
resources and increase student applications.
● Research and cultivate programs suitable for Ellis funding, as well as, free programming, and make
recommendations to students in accordance with student interests.
● Develop and manage relationships and communications with Program Providers regarding invoice
management, payment processing and program enrollment. Support the Ellis Trust Program Provider
Compliance Program by communicating program requirements, tracking and reviewing documentation,
monitoring funding eligibility and managing the student and program provider feedback processes.
● Respond to emails and answer phone calls from parents/guardians, students, program providers,
CBOs and school personnel regarding Ellis grant programs, eligibility criteria and application
processing.
● Support the development and delivery of the quarter Ellis Administrator’s report for Ellis Advisory
Committee including ad hoc metrics and reporting
● Support fiscal year-end audit process by preparing Ellis files and reports for annual audit.

About you:
● Have a Bachelor’s degree
● Passionate about educational access for underserved communities
● Experience in a customer-facing role is highly desirable
● Strong interpersonal skills and ability to foster collaborative relationships with families, students, school
partners, external partners and Board members
● Experience with workflow assessment for continuous process improvement
● Strong organizational skills, attention to detail, and evident ability to handle multiple projects
● Skilled in keeping data, analyzing data, and creating reports or evaluations
● Excellent written and verbal communications skills
● Experienced manager of social media platforms (Twitter, Instagram, Facebook, etc.)
● Demonstrated ability to work with diverse populations required
● Conversational Spanish desirable, but not required
● Attention to detail and accuracy, ability to plan and organize, and problem-solving skills.

● Proficient in Google Suite (Docs, Sheets, Slides, Chat, Gmail, Calendar, Meet), and/or Microsoft Office
applications (Word, Excel, PowerPoint)
Other things to keep in mind:
● This position meets in-person. All candidates must be fully vaccinated and regularly tested for Covid-19
in order to meet with students. Candidates must wear face coverings at all times while on campuses.
● Must be able to regularly access and use general office equipment including phones, computers,
copiers, etc.
● Must be able to work in a busy, often complex work environment that is generally climate controlled.
● Must be able to lift up to 20 pounds unassisted on an occasional basis.
● Must be able to sit for long periods of time.
● Must be able to stand or walk for long periods of time.
● Driver’s license required, personal car preferred
